Job Description For Accounting Coordinator
Description
The Accounting Coordinator supports day-to-day accounting operations with a focus on accuracy, timeliness, and great internal service. You'll be the go-to for payables/receivables processing, daily revenue reconciliations, cash controls, and month-end tasks that help the team deliver clean, audit-ready financials.
What You'll Do
- Accounts Payable
o Validate invoices (3-way match to PO/receipts).
o Set up/maintain vendors (W-9 collection, remittance details) and prepare weekly payment runs.
o Research and resolve discrepancies, credits, and aging items.
o Support purchasing card function, as assigned by ADOF or Purchasing Director. - General Cashier
o Issue and audit virtual and house banks in accordance with cash handling policies and standard operating policies.
o Prepare weekly deposit (including logging manual vault drops).
o Process due backs and petty cash, as necessary.
o Process general cashier check request and change order requests, as necessary. - Accounts Receivable
o Create and send invoices/statements; apply payments and manage postings.
o Third party payment reconciliation and application.
o Collaborate intra-departmentally to ensure all accounts are clear (Transient, Group, Membership).
o Support AR collections efforts and process payment arrangements with clients as needed.
o Maintain tax-exempt documentation and chargeback responses.
o Issue, maintain inventory, and reconcile Resort Cards (STS).
o Reconcile Gift Certificates and Gift Cards. - Income Audit
o Reconcile prior-day revenue, tenders and tax reports to PMS/POS.
o Responding to daily tickets within required timeframe (SOX).
o Distribute daily financial report.
o Process and route daily documents for approval (S&P, Voids, Negative Postings, etc.). - Reconciliations
o Reconcile balance sheet accounts as assigned by ADOF.
o Send required backup to BPO by deadlines. - Month-End & Reporting
o Assist with journal entries, accruals/deferrals, and closing checklists.
o Maintain schedules (fixed assets, prepaid amortization, 1099 tracker).
o Produce routine reports: AP aging, AR aging, sales/use tax support, revenue summaries.
o Assist with journal entries as requested by ADOF or DOF. - Compliance & Internal Controls
o Uphold documented SOPs, segregation of duties, and approval matrices.
o Support audits (internal/external), 1099 year-end, and sales/use tax filings.
o Champion data integrity and confidentiality (PCI/PII awareness). - Team Support
o Partner with Operations, Purchasing, Information Technology and HR/Payroll on cross-functional items.
o Field questions with clear, helpful communication.
o Data entry and filing as needed.
o Other duties as assigned by Director of Finance and Assistant Director of Finance.

Qualifications - 1-3 years of hands-on accounting experience (AP/AR, reconciliations); hospitality or multi-outlet environment a plus.
- Working knowledge of Microsoft Office Suite and an accounting system (e.g., Oracle) and hospitality systems exposure (e.g., Opera, POS) is a plus.
- Comfort with high-volume, detail-heavy workflows and strict deadlines.
- Clear, professional communication and a service mindset.
- Education: Associate's Accounting/Finance preferred (or equivalent 1-3 year's experience).
Schedule & Work Environment•Primarily Monday-Friday; occasional month-end or audit support after hours.
•On-site/in-person role with standard office equipment; light lifting as needed.
